OfferCopilot is a product of AiOffers Inc. This Privacy Policy explains how we collect, use, store, disclose, and protect Personal Information when real estate professionals, brokerages, clients, and other authorized users interact with the OfferCopilot website, web application, Chrome extension, AI features, and related services.
“Personal Information” means information about an identifiable individual. By using OfferCopilot, you acknowledge the practices described in this policy. Where consent is required by law, we will request it separately and you may withdraw it subject to legal and contractual restrictions.
We collect information such as your name, email address, phone number, brokerage, licence or registration details, role, authentication identifiers, account preferences, and support communications.
When you manage a client or transaction, we may process contact information, identity and verification records, dates of birth, occupations, government-issued identification, financing documents, offer terms, signatures, communications, and records required for real estate or FINTRAC compliance. Agents and brokerages are responsible for having the authority to provide client information to OfferCopilot.
When you instruct the OfferCopilot Chrome extension to import a listing, it captures listing information displayed by the supported listing service, including property, brokerage, and listing-agent details needed to prepare an offer. The extension does not continuously collect browsing activity outside its disclosed listing-import functions.
We may collect IP address, browser and device details, timestamps, feature usage, diagnostics, prompts, AI responses, and documents or images submitted for extraction, verification, or assistance. We use this information to operate, secure, troubleshoot, and improve OfferCopilot.
Connecting Google Workspace is optional and separate from signing in with Google. When you choose “Connect Google,” OfferCopilot requests access to your Google account email, Calendar, Contacts, Other Contacts, and Gmail (to read your email and to send email as you). We use that access only for the user-facing features described below.
Connecting turns on the features below for that Google account. You then see a list of the inbox, showing, sending, and contacts features, where you can switch off any you do not want. You can change any of them at any time in your Profile. Sending email and updating Google Contacts apply only to the account you mark as primary.
OfferCopilot creates and manages a dedicated offer-date calendar and synchronizes the offer expiry, condition, closing, and lease dates you enable, together with the reminders and offer details needed to identify those events. That calendar is the only one we change. When “Watch this calendar for showings” is on, we also read, but never change, events on that account's main calendar to recognize showings you attended and suggest starting an offer for the property.
We query Google Contacts and Other Contacts to show contact suggestions and imports you request. When “Push new clients to Google Contacts” is on, we send client contact details you create or update in OfferCopilot to your Google Contacts. Contacts are not imported into OfferCopilot until you select them or otherwise direct the action.
When “Send client emails from my Gmail” is on, the emails OfferCopilot sends for you go out from your Gmail address instead of an OfferCopilot address. These include messages to clients, listing agents, and other parties to a deal, such as signing invitations, signed offer packages, showing feedback requests, and referral invitations, and some are sent automatically when a deal reaches a step, such as a completed signing. OfferCopilot does not delete or modify your email and does not change your Gmail settings.
Each inbox feature reads only the mail it needs:
Some features read mail only when you open or use them: the Email page, which lists your recent inbox and searches your mailbox (sent mail included) for what you type, and files or extracts details from an email you pick; importing clients from your past correspondence; filling in a contact's profile from their emails; and the related emails shown on a deal or client page, including a client's past documents. Gmail notifies OfferCopilot when new mail arrives so that features you have on can run promptly. OfferCopilot stages suggestions for your review and does not change an offer or create a client merely because an email was read.
We store your Google account email, an encrypted OAuth refresh token, the identifier of the managed calendar, sync and feature preferences, and connection status. For inbox features, we may store message and thread identifiers, sender and recipient information, subject, snippet, received time, matching metadata, derived suggestions, listing activity entries, and relevant staged attachments. We do not create a general-purpose copy of your mailbox.
When needed to provide a feature described above, relevant message metadata, text, or attachments, or calendar event details, may be processed by Google Vertex AI to classify an offer update, client document, listing notice, received offer, or showing, or to extract details such as a contact's information or deposit instructions. This processing is limited to providing the visible feature. We do not use Google user data to train or fine-tune general-purpose AI models.
OfferCopilot's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not sell Google user data, use it for advertising or retargeting, transfer it to data brokers or information resellers, use it to determine creditworthiness or for lending, or use it to train general-purpose AI models.
You can turn Gmail, contact, and calendar options on or off in OfferCopilot and disconnect Google at any time. Disconnecting revokes the stored connection where possible, deletes the backend integration record, and attempts to remove the managed calendar. You can also revoke OfferCopilot from your Google Account permissions. Information you previously chose to import, attach, or use in a transaction becomes part of the corresponding OfferCopilot record and follows the retention rules below.
Any use of Google user data remains limited to the Google-connected features described in this policy and is excluded from advertising and model-training uses.
We may share information with service providers that operate infrastructure, document processing, electronic signatures, communications, analytics, support, security, and AI features on our behalf. They may use the information only to provide contracted services and must protect it under their agreements with us.
Transaction information may be shared with your brokerage, authorized team members, clients, counterparties, legal professionals, signing recipients, and other people you direct us to involve in a transaction. Access inside OfferCopilot is role- and ownership-based.
We may disclose information when required by law, legal process, a regulator, or to protect rights, safety, and security. Information may also transfer as part of a financing, reorganization, merger, or sale of the business, subject to applicable privacy law.
Core OfferCopilot application records are stored using Google Cloud infrastructure in Canadian regions. Some providers and AI features process information in other regions, including global or United States endpoints, where needed to provide the service. Those providers may therefore process information outside your province or Canada, where it can be subject to the laws of the processing jurisdiction.
We use administrative, technical, and organizational safeguards appropriate to the sensitivity of the information. Google refresh tokens are encrypted at rest and stored in a backend-only integration record; client applications receive only sanitized connection status and preferences. Information is encrypted in transit. No security measure can eliminate every risk, and users must protect their accounts and credentials.
We retain information only as long as reasonably needed for the purposes described here, to maintain transaction records, resolve disputes, enforce agreements, and meet legal or regulatory obligations. Some real estate and FINTRAC records must be retained for at least five years, even after an account or connection is closed.
You may request access to or correction of your Personal Information. We respond to valid written access requests within the time required by applicable privacy law, subject to permitted extensions and exceptions. You may also request deletion of information that is not available through the product. Deletion may be limited or delayed where retention is required by law, necessary for a transaction record, or technically required for secure backup rotation.

We use cookies and similar technologies for authentication, preferences, security, diagnostics, and product analytics. We may send service, security, and transaction communications that are necessary to operate your account. Promotional communications include an unsubscribe method where required by Canadian Anti-Spam Legislation. Google user data is not used for advertising or marketing audiences.
OfferCopilot is a professional service and is not intended for children or anyone under the age of majority in their jurisdiction. If you believe a child provided Personal Information to us, contact us so we can investigate and take appropriate action.
We may update this policy as our services or legal obligations change. We will post the updated policy here, change the “Last Updated” date, and provide additional notice or seek renewed consent where required, including before using Google user data for a materially different purpose.
